Job Description:Duties and Responsibilities1. Purchase Facilities and Fleet Management
- Process purchase orders using the iBuy system.
- Coordinate requests for quotes from suppliers
- Maintain contact with suppliers, ensuring accurate and up-to-date information.
- Oversee the purchase of cell phones and Claro lines, including obtaining necessary approvals and addenda signatures.
2. Contract Management
- Manage approvals and signatures for commercial documents (from ASP clients, Distribuitors and Supplier).
- Coordinate contract approvals.
- Safeguard signed contracts in the CM Spring system and liaise with the Legal office.
- Facilitate the delivery and collection of contracts and other business documents between relevant parties (HCI and HCP).
3. Commercial Daily Support
- Collect and organize supporting documentation required for billing.
- Proactively build relationships with key stakeholders internally
- Be focal point of quotations through main portals : Bionexo etc
- Centralize and support general communications to employees across various areas.
4. Local IT Supplier Relations
- Act as the focal point for managing relationships with local IT supplier.
- Collaborate with IT vendors to ensure timely delivery of services and devices within the company.
- Negotiate contracts and service-level agreements with IT suppliers.
- Monitor performance metrics and address any discrepancies.
Support Office Activities:
- Welcoming and assisting visitors when they arrive at the office
- Monitoring office expenses.
- Handling contracts related to office services (such as rent, cleaning, etc.).
- Keeping track of office supplies and placing orders when necessary.
- Organizing coffee breaks for meetings
- Managing access to the office
QualificationsBachelor Degree in Engineering, Administration, or equivalent careers as required.Knowledge, Skills, Abilities, Certifications/Licenses, and Affiliations:Leadership attributes
- Results-oriented, sense of urgency, proactive – solution-driven, collaboration and teamwork.
Functional attributes:
- Relationship management: ability to build rapport quickly, build trust and maintain strong long-term relationships, customer service, planning and organization, detail orientation.
